Periodic, statutory inspections are part of everyday operational reliability in real estate management. Statutory inspections cover property assets ranging from elevators and sectional doors to refrigeration equipment and fire suppression systems. Property managers and maintenance teams are responsible for coordinating these inspections, but ultimate responsibility for safety lies with the property owner.
Reliable, sufficiently detailed records of asset inspections and their findings are essential – yet this information is often stored in different ways and in different places.
Kiwa, globally recognised for its testing, certification and inspection services, offers Digi-Tags: a digital tool that consolidates each asset’s inspection records and documentation into a single digital archive linked directly to the physical asset via a QR code scan. Traditionally, inspection findings have been delivered by email to the responsible party – typically a property or maintenance manager – who then manually entered the data into Granlund Manager and logged any corrective tasks for the maintenance team.
This manual step is now eliminated. Inspection data flows between the systems and follow-up actions are updated to the maintenance task list automatically.
Time previously spent on data handling is freed up for more meaningful work.
How does the Kiwa Digi-Tags and Granlund Manager integration automate the process?
- Identification and sign-off: The QR code attached to each asset acts as its identifier. By scanning it inspectors and maintenance staff get immediate access to inspection documents, including any noted corrective actions. Inspection results and completed tasks can be logged directly on site.
- Inspection records: Completed inspection data is transferred directly into the Granlund Manager maintenance log under the relevant asset. If there are no open issues, the inspection task closes and the next inspection date is added to the system as an upcoming task.
- Maintenance: If an inspection reveals corrective needs, the system generates a separate follow-up event. Open corrective actions are logged with comments as a maintenance note for the maintenance team.
