Valuable possessions should be taken good care of, but many properties have plenty of room for improvement in this area. In my work, I still come across properties that are worth millions but which are managed or maintained with a gut feeling instead of systematically gathered information and long-term planning.

Technical data on building services and energy consumption are scattered in folders, Excel files or behind multiple different systems and logins. Device maintenance notes are scribbled in physical maintenance manuals — if anyone remembers and has the time for that sort of thing.

In many cases, the best knowledge of the property’s condition and previous maintenance tasks are stored in the head of the Property Manager or someone in the maintenance team.

The world is digitalising rapidly and the real estate industry should take full advantage of it. However, the digitalisation of property management is only beneficial when it brings real added value to professionals and makes their work easier.

For example, the Financial Manager of a parish can quickly check the planned future renovations from their computer. Similarly, a Maintenance Engineering at a sports complex can see from their mobile app when the air handler unit should be serviced next.

We often receive feedback from our customers about successful digital leaps: switching over to systematic and preventive property maintenance creates significant cost savings in the long run. At the same time, well-organised daily operations saves the team’s time and effort when there is a clear strategy of investment in the well-being of properties and their occupants instead of unnecessary ad-hoc hassle and informational issues.

How to implement an efficient property management software?

In a case where the property’s information is not yet available in any digital form, the process begins with the basics. Here at Granlund, we often begin by listing all the individual properties in the portfolio and collecting all the essential data on technical building devices and structures that require regular maintenance.

The data is then transferred to the Granlund Manager software and the customer receives a suggestion regarding the property’s Maintenance plan. At the same time, the property’s future repair needs can be planned in the Capital planning Module, reducing unexpected costs.

One of the most important steps is the onboarding phase of the new property management system, making sure that the persons responsible for property management and maintenance are familiar with the software and the way it can help them in their daily work.
